Office Administrator

Founded in 1987, Vanwin Coatings is a Chesapeake, Virginia based company that specializes in Industrial Marine, MIL-Spec Coatings, and Powder Coating Services. We pride ourselves in delivering quality solutions for our customers safely and with integrity.

As a growing company with a collaborative and dynamic work environment, Vanwin Coatings is seeking a highly skilled individual to add to our Administration Team. A successful candidate will excel in these essential areas:

Duties

  • General office duties, to include but not limited to (phones, filing, copying, scanning, faxing, etc.
  • Support Payroll management
  • Handles employment-related inquiries from applicants, employees, and supervisors, and refers complex and/or sensitive matters to the appropriate staff
  • Liaise with IT and facilities to maintain a properly functioning work environment
  • Support and track Base Employee Access & Security
  • Support recruitment activities as needed
  • Support payables and receivables
  • Support admin leadership with project reports and cashflows at a monthly, quarterly or bi-annual budget meeting
  • Collaborate with Purchasing Dept on all vendor invoices and payments.
  • Provide general support to visitors
  • Coordinate schedules, appointments
  • Handle customer inquiries and complaints
  • Support new employee onboarding
  • Ensure security, integrity and confidentiality of data
  • Practice sound procedures for record keeping
  • Support adherence to office policies and procedures
  • Ensure filing systems are maintained and current
  • Work with purchasing for office supply acquisitions
  • Assists in vendor management and outsourcing oversight
  • Work with Insurance Broker to obtain needed Certificates of Insurance
  • Performs other duties as assigned

 

Education and Requirements

  • At least 3 years of administration experience
  • Proficiency in QuickBooks Enterprise, Sage, or Similar
  • Strong computer skills and proficiency in Microsoft word and excel.
  • Strong and professional reporting, multi-tasking, problem solving, interpersonal and communication skills
  • Ability to exercise sound judgment and work independently yet within deadlines.
  • High levels of integrity, work ethic and dependability

 

 

Additional Requirements

  • Good driving record
  • Valid Driver’s License
  • Consistent access to reliable transportation
  • Clean background that would enable military base access.
