Project Manager Administrator

Crofton is seeking a Project Manager Administrator (PMA) to join our team.

The PMA plays a crucial role in supporting project managers and project teams by handling various administrative tasks. The ideal PMA will be highly organized and meticulous with the ability to excel in a fast-paced work environment.

Duties/ Responsibilities:

  • Maintain project documentation, including project plans, schedules, and status reports.
  • Ensure all project documentation is organized, up to date, and easily accessible for the team.
  • Facilitate communication between project team members, stakeholders, and clients.
  • Distribute project-related information, updates, and announcements to the relevant parties.
  • Help schedule/coordinate meetings, including sending out invitations and preparing agendas.
  • Enter project-related data into project management software or databases.
  • Maintain and update project tracking systems to monitor progress and performance indicators.
  • Assist in monitoring project budgets and expenses.
  • Process invoices and expense reports and ensure they are submitted and approved in a timely manner.
  • Help in coordinating resources, such as personnel, equipment, and materials, to support project needs.
  • Assist with scheduling and resource allocation to ensure that projects are adequately staffed and resourced.
  • Assist in identifying and tracking project risks and issues.
  • Support the development of risk mitigation plans and monitor their progress.
  • Generate regular reports on project status, budget, and other relevant metrics.
  • Prepare presentations and reports for project stakeholders and management.
  • Ensure that project deliverables meet quality standards and are in compliance with project requirements.
  • Assist in the development and implementation of quality control processes.
  • Maintain a repository of best practices and lessons learned from previous projects.
  • Use this knowledge to improve project management processes and outcomes.
  • Provide general administrative support to project managers, such as scheduling, travel arrangements, and document formatting.
  • Help with the coordination of project team meetings, workshops, and training sessions.
  • Identify opportunities to improve project management processes and suggest enhancements to increase efficiency and effectiveness.
  • Performs other related duties as assigned.

 Education and Experience:

  • Minimum of 3 years of experience in this or related position.
  • Experience using Bluebeam, HCSS, Procore, or Sage is desired.

 Physical Requirements:

  • Must be able to lift up to 15 pounds at a time.
  • Exposure to characteristic Construction and marine site dangers
  • Moving about to accomplish tasks or moving from one worksite to another.
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Prolonged periods of sitting and work on a computer
  • Able to traverse all areas of the jobsite; this may require walking, climbing, reaching, bending, crawling, or stretching.
