Job Description:  We are actively seeking to fill the role of Administrative Assistant. Reporting to our Director of Corporate Planning, our ideal candidate enjoys working with clients, both internal and external, is eager to learn and maximize results, is detail oriented and is driven to meet tight deadlines in a fast-paced environment.

 

Job Requirements/skill sets:  The successful candidate shall have:

 

  • Screen and direct phone calls and distribute correspondence.

 

  • Prioritize and manage multiple projects simultaneously and ensure prompt follow-through.

 

  • Perform high level administrative duties, including but not limited to, the preparation of special reports, PowerPoint presentations, and maintenance and tracking of confidential information.

 

  • Conduct research, compile data, and prepare reports for review.

 

  • Organize and coordinate executive meetings, including preparing agendas and materials.

 

  • Arrange travel itineraries, accommodations, and logistics for executive travel.

 

  • Plan and execute corporate events and functions onsite and offsite. Oversee set-up and breakdown of meetings and corporate functions, including room coordination, calendar updates, meal ordering, and contract with outside vendors when required.

 

  • Manage executives’ calendars, schedule meetings, and coordinate appointments.

 

  • Prepare and process expense reports and other business development reports

 

  • Recruiting duties to include attending career fairs, posting ads, and maintaining our corporate career page

 

  • Prepare and edit correspondence, reports, presentations, and other documents.

 

  • Handle confidential information with discretion.

 

  • Manage the flow of information and communications to the executive team to ensure incoming requests and inquiries are promptly addressed.

 

  • All other duties as assigned.

 

Education / Experience Requirements: High school diploma or equivalent.  Bachelor’s Degree or equivalent combination of education and experience preferred.  5+ years of related experience in administrative services. Finance or accounting knowledge is preferred but not required. Experience using Microsoft Office products, including Outlook and Excel, is required.

 

Security Clearance/Naval Facility Access:  U.S. citizenship required.

Must be eligible for and be able to maintain a Secret Clearance. Be able to access military facilities, naval shipyards, and private shipyards.
