Office Coordinator

The Office Coordinator is the first point of contact for incoming calls and visitors to our office. The ideal coordinator has a cheerful and professional disposition with a high standard of customer service. The Office Coordinator has the drive to take initiative and execute their responsibilities in alignment with CROFTON’s core values; Relationships, Integrity, Safety and Excellence.

Duties/ Responsibilities:

  • Greet and welcome guests as they arrive.
  • Direct callers and visitors to the appropriate personnel.
  • Answer, screen, and forward incoming calls.
  • Ensure the reception area and front desk are well kept and organized.
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain the organization and inventory of all supply closets in office buildings.
  • Calendar management of office conference rooms.
    • Maintenance and organization of office copy rooms and break rooms.
    • Communicates all office maintenance requests to facility maintenance manager.
    • Maintain the closet for visitors so that safety gear is readily available.
    • Occasionally assist with scheduling meetings.
    • Perform other clerical tasks such as scanning, copying, transcribing, laminating, etc.
  • Performs other related duties as assigned.

 Required Skills/Abilities:

  • Proven work experience in similar roles.
  • Proficient and knowledgeable with Microsoft Office Suite.
  • Ability to be resourceful and take initiative when issues arise.
  • Outstanding organizational skills.
  • Excellent time management skills coupled with the ability to prioritize tasks accordingly.
  • Willing to be a team player and assist with a wide variety of tasks as needed.
  • Excellent communication skills, both written and verbal.
  • Ability to clearly communicate directions to callers making deliveries.
  • Must have reliable transportation.

 Education and Experience:

  • HS Diploma or GED
  • Minimum 5 years proven work experience providing office administrative assistance, preferably in a commercial or industrial business environment.

 Physical Requirements:

  • Must be able to lift 15 pounds at times.
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Prolonged periods of sitting and work on a computer         
  • Must be able to access and navigate each department at the facility.
